Planning Your Corporate Event with Hobbs of Henley: A Step-by-Step Guide

Corporate Away Day

A 4 minute Read by Suzy Hobbs

Organising a corporate event can feel like a big task. Finding the right venue, coordinating suppliers, managing guest numbers and making sure everything runs smoothly on the day can quickly become overwhelming.

At Hobbs of Henley, we believe planning your event should be just as enjoyable as the event itself.

Whether you’re rewarding your team, entertaining clients, celebrating a company milestone or hosting a networking event, our experienced team will guide you through every stage of the process. From your very first conversation to welcoming your guests aboard, we’re here to make everything as straightforward and stress-free as possible.

Step 1: Start with a Conversation

Every great event begins with a simple chat.

Give us a call or send us an email to tell us what you’re hoping to achieve. Whether you already have a clear vision or are just exploring ideas, we’ll answer your questions and help you understand what’s possible.

No two corporate events are the same, which is why we take the time to understand your objectives before recommending the most suitable options.

Step 2: Come and See Us

We always recommend booking a show round.

This is your opportunity to meet our Corporate Events Manager, Kerry Harris, explore our fleet and discuss your ideas in person. You’ll be able to see the different vessels available, talk through capacities, layouts and facilities, and get a real feel for what your event could look like.

Often, seeing the boats in person sparks ideas that simply wouldn’t come across in a brochure.

Step 3: Check Availability

Once you have a preferred date in mind, we’ll confirm availability and discuss which vessel would work best for your event.

With one of the largest fleets on the River Thames, we’re able to cater for everything from intimate executive gatherings to larger celebrations, giving you flexibility depending on your guest numbers and budget.

Step 4: Personalise Your Corporate Event

This is where the fun begins.

Together we’ll build an event that reflects your business and your guests.

Depending on your requirements, we can help you arrange:

  • Delicious catering from our trusted catering partners
  • Welcome drinks, bar packages and refreshments
  • Live music or entertainment
  • Guest speakers or presentations
  • Company branding and personalised touches
  • Timings and cruise routes
  • Any additional extras to make your event memorable

Whether you’re aiming for relaxed summer networking or a polished client reception, we’ll help create an experience that feels uniquely yours.

Step 5: Secure Your Booking

Once you’re happy with your plans, we’ll confirm everything in writing.

We’ll provide your booking confirmation, terms and conditions, and arrange the deposit. From there, you can relax knowing your date is secured while we continue helping you bring the finer details together.

Step 6: Finalise the Details

In the weeks leading up to your event, we’ll stay in regular contact to make sure everything is coming together.

Around two weeks before your cruise we’ll confirm:

  • Final guest numbers
  • Dietary requirements
  • Catering selections
  • Drinks choices
  • Entertainment arrangements
  • Running order for the day

We’ll guide you through everything, so you never feel like you’re managing it alone.

Step 7: We’re Here Right Up Until the Event

Questions always come up, especially as the day gets closer.

Need advice on timings? Wondering about access? Want to make a last-minute adjustment?

Just ask.

Our team is always available to help and will work with you to make sure every detail is covered.

If you need to deliver decorations, promotional materials or equipment ahead of time, we can often arrange secure storage at the boatyard. You’ll also have access to your vessel before guests arrive, giving you time to set up and add those finishing touches.

Step 8: Enjoy Your Event

When the day arrives, our experienced crew will be ready to welcome you.

From helping with setup before your guests arrive to supporting you throughout the event and assisting afterwards, our team will be on hand so you can focus on what matters most, spending time with your guests and enjoying the occasion.

Our goal is simple: to make your event feel effortless.

We’re With You Every Step of the Way

Planning a corporate event doesn’t need to be complicated.

At Hobbs of Henley, we’ve been creating memorable experiences on the River Thames for generations, and we’ve refined the process to make it as smooth and enjoyable as possible. Whether you’re planning your first corporate cruise or your tenth, you’ll have a dedicated team supporting you from your initial enquiry right through to waving goodbye to your guests at the end of the day.

If you’re thinking about hosting your next corporate event on the Thames, we’d love to show you what’s possible.

Book a show round, meet Kerry and the team, and let’s start planning an event your guests will be talking about long after they’ve stepped ashore.
